5K Immigration Services ("we," "our," or "us") is a regulated immigration consulting practice based in Surrey, British Columbia, Canada.   • Family information relevant to sponsorship or dependent applications
  • Financial records provided in support of an application
  • Police certificates and court records (where applicable)
  • Medical examination results provided by an IRCC panel physician
  • Communications, notes, and correspondence related to your file

When you use our website, we may also collect standard technical data such as IP address, browser type, pages visited, and session duration through basic analytics tools.

2. How We Collect Your Information

We collect personal information directly from you through:

  • Initial consultation bookings and intake forms
  • Email, telephone, and in-person communications
  • Documents you provide or authorize us to obtain on your behalf
  • Online forms on our website (contact, booking)

We do not collect personal information without your knowledge or consent, except where permitted or required by law.

3. Purpose of Collection and Use

We use your personal information solely for the purposes for which it was collected, including:

  • Providing immigration consulting services and preparing applications
  • Submitting applications to Immigration, Refugees and Citizenship Canada (IRCC), Employment and Social Development Canada (ESDC), Canada Border Services Agency (CBSA), and other relevant government bodies
  • Communicating with you about your file, deadlines, and outcomes
  • Fulfilling our regulatory obligations as a Regulated Canadian Immigration Consultant (RCIC) under the CICC Code of Professional Conduct
  • Maintaining accurate client records as required by our governing body
  • Improving our services and responding to inquiries

We will not use your information for any purpose other than those listed above without your explicit consent.

4. Disclosure of Personal Information

We do not sell, rent, or trade your personal information. We may disclose your information only in the following circumstances:

  • Government authorities: IRCC, ESDC, CBSA, and provincial regulatory bodies as required by the nature of your application
  • Authorized third parties: Professionals engaged on your behalf (e.g., translators, medical clinics, panel physicians) under strict confidentiality obligations
  • Legal requirements: When required by a court order, subpoena, or applicable law
  • CICC audits: Our files may be subject to review by the College of Immigration and Citizenship Consultants as part of our regulatory obligations

We will never share your personal information with unauthorized third parties, marketers, or immigration agents outside of our practice without your written consent.

5. Retention of Records

In accordance with CICC regulations, we retain client files for a minimum of six (6) years from the date the retainer agreement is concluded or the file is closed. After this period, personal information is securely destroyed or de-identified.

Website analytics data is retained only as long as necessary for the purposes described and is not linked to your identity.

6. Security Safeguards

We take reasonable steps to protect your personal information from loss, theft, unauthorized access, disclosure, copying, use, or modification. Our safeguards include:

  • Secure, password-protected file management systems
  • Encrypted email communications for sensitive documents
  • Restricted access — only authorized staff handle client files
  • Physical security for any paper-based documents

No transmission over the internet is completely secure. While we take every reasonable precaution, we cannot guarantee the absolute security of information transmitted to us electronically.
