Privacy Policy
How I collect, use and protect your personal information.

5K Immigration Services Inc. (“we”, “our” or “us”) is a regulated immigration consulting practice in Surrey, British Columbia. We protect the privacy of our clients and website visitors. This policy explains how we collect, use, disclose and safeguard personal information under the Personal Information Protection and Electronic Documents Act (PIPEDA), British Columbia’s Personal Information Protection Act (PIPA), and the College of Immigration and Citizenship Consultants (CICC) Code of Professional Conduct.
1. Information we collect
We collect only what we need to provide immigration consulting services. Depending on your file, this may include:
- Full legal name, date of birth and nationality
- Contact details: mailing address, phone number and email address
- Passport and travel document details
- Immigration history, refusals and prior status in Canada
- Employment history, job titles and reference letters
- Educational credentials and ECA reports
- Language test results (IELTS, CELPIP, PTE Core, TEF, TCF and similar)
- Family information relevant to sponsorship or dependants
- Financial records supporting an application
- Police certificates and court records, where applicable
- Medical examination results from an IRCC panel physician
- Communications, notes and correspondence about your file
When you use this website we may also collect technical data such as IP address, browser type, pages visited and session length, as described in sections 5 and 8.
2. How we collect it

- Email, phone and in-person conversations
- Documents you give us or authorize us to obtain for you
- Forms on this website (contact and booking)
We do not collect personal information without your knowledge or consent, except where the law permits or requires it.
3. How we use it
- To provide immigration consulting services and prepare applications
- To submit applications to Immigration, Refugees and Citizenship Canada (IRCC), Employment and Social Development Canada (ESDC), the Canada Border Services Agency (CBSA) and other government bodies
- To communicate with you about your file, deadlines and outcomes
- To meet our regulatory obligations as a Regulated Canadian Immigration Consultant under the CICC Code of Professional Conduct
- To keep accurate client records as our regulator requires
- To answer your questions and improve our services
We will not use your information for any other purpose without your explicit consent.
4. When we disclose it
We never sell, rent or trade personal information. We disclose it only:
- To government authorities such as IRCC, ESDC, CBSA and provincial nominee programs, as your application requires
- To professionals acting for you (translators, medical clinics, panel physicians) under confidentiality obligations
- When required by a court order, subpoena or applicable law
- To the CICC, whose regulatory reviews may include our files
5. Website service providers
This website relies on the following providers. Each receives only what it needs:
- Cloudflare (hosting, security and spam checks on forms): technical request data such as IP address, browser type and pages requested
- Cal.com (consultation booking): your name, email, phone number, appointment time and anything you enter when booking
- Microsoft 365 (email): messages you send by email or through the contact form, delivered to and stored in our business mailbox
- Google Analytics (website statistics): pages visited, approximate location derived from IP address, device and browser type, and the referring website
These providers may store or process information outside Canada, including in the United States, where it may be accessible to authorities under local law. Please don’t send passport numbers or immigration documents through website forms or booking notes; we’ll arrange a secure method when documents are needed.
6. How long we keep it
As CICC regulations require, we keep client files for at least six years after the retainer ends or the file is closed. After that, personal information is securely destroyed or de-identified. Website analytics data is kept only as long as needed for the purposes above and is not linked to your identity.
7. How we protect it
- Secure, password-protected file management systems
- Encrypted email for sensitive documents
- Access limited to authorized people
- Physical security for paper documents
No transmission over the internet is completely secure. We take every reasonable precaution but cannot guarantee absolute security.
8. Cookies and analytics
With your consent, we use Google Analytics to understand how visitors use this website. Once you accept, it sets cookies in your browser and collects the information described in section 5. We use it only in aggregate reports and never to identify you. Google signals and advertising personalization are turned off, and we don’t use cookies to track you across other websites or to target advertising.
Your choice: on your first visit, a banner asks whether to allow analytics cookies. Google Analytics does not load and sets no cookies until you choose Accept; if you decline or ignore the banner, no analytics cookies are set. You can change your choice at any time with the “Cookie settings” link at the bottom of every page, or here: . You can also block cookies in your browser or install Google’s Analytics opt-out add-on.
9. Your rights
- Access: ask for the personal information we hold about you
- Correction: ask us to correct inaccurate or incomplete information
- Withdrawal of consent: withdraw consent at any time (this may limit our ability to keep providing services)
- Complaints: contact the Office of the Privacy Commissioner of Canada (priv.gc.ca) or the Office of the Information and Privacy Commissioner for BC (oipc.bc.ca)

This website links to external sites, including official IRCC pages. We aren’t responsible for their privacy practices and encourage you to read their policies.
11. Changes to this policy
We may update this policy to reflect changes in our practices, regulations or the law. The effective date above shows when it was last revised.
